All Uganda Safari Tours – Terms and Conditions

Please read these Terms and Conditions carefully before booking. By making a booking or payment with All Uganda Safari Tours, you confirm that you have read, understood, and agreed to these terms in full.

All Uganda Safari Tours specializes in premium Uganda safaris, including Gorilla Trekking in Bwindi Impenetrable National Park and Mgahinga Gorilla National Park, Chimpanzee Tracking in Kibale Forest, wildlife safaris in Queen Elizabeth, Murchison Falls, Kidepo Valley, and Lake Mburo National Parks, as well as primate, cultural, and customized Uganda tours.

1. Booking and Confirmation

  • A booking is considered confirmed only after we receive the required deposit and issue a written confirmation.
  • A 30% non-refundable deposit of the total safari cost is required to confirm your booking and secure reservations.
  • For gorilla trekking safaris, full payment of the gorilla permit is required upfront because permits are strictly limited and issued by the Uganda Wildlife Authority (UWA).
  • Full passport details (full name as shown in the passport, date of birth, nationality, and passport number) must be provided at the time of booking for all permit applications.
  • All bookings and permits are subject to availability.

2. Payment Terms

  • The balance (70%) must be paid in full no later than 45 days before the start of your safari.
  • Bookings made within 45 days of departure require 100% full payment at the time of booking.
  • We accept payments via bank transfer, credit card, or PayPal.
  • All prices are quoted in United States Dollars (USD) per person sharing a twin or double room.
  • Any bank charges, transfer fees, or credit card surcharges shall be borne by the client.

3. Inclusions and Exclusions

Prices include only the services explicitly stated in your confirmed itinerary.

Typical Inclusions:

  • Private 4×4 safari vehicle with experienced English-speaking driver-guide
  • Accommodation as specified in the itinerary
  • Meals as indicated (breakfast, lunch, and dinner where applicable)
  • Gorilla, chimpanzee, or other primate trekking permits (as per itinerary)
  • All park entrance fees and ranger/guide fees
  • Bottled drinking water during transfers and activities

Typical Exclusions:

  • International and domestic flights
  • Uganda entry visa fees
  • Travel insurance (mandatory)
  • Tips and gratuities for driver-guides, rangers, and lodge staff
  • Items of a personal nature (laundry, souvenirs, alcoholic drinks, etc.)
  • Porter fees during gorilla or chimpanzee treks (optional, payable on site)
  • Any optional activities not listed in the itinerary

4. Cancellation and Refund Policy

All cancellation requests must be submitted in writing. Refunds will be processed as follows:

  • 61 days or more before departure: 70% refund of the total cost (less any paid permits and administrative fees).
  • 60 – 31 days before departure: 40% refund.
  • 30 days or less before departure or no-show: No refund.

Gorilla Permits (UWA Policy): Gorilla permits are largely non-refundable. Where refunds are granted by Uganda Wildlife Authority, the following applies:

  • 91 days or more before the trek: Up to 75% refund possible
  • 46 – 90 days: Up to 50% refund possible
  • 45 days or less: No refund

Even when a partial permit refund is approved by UWA, operator costs and non-recoverable expenses will be deducted. We strongly recommend purchasing comprehensive travel insurance that includes trip cancellation coverage.

5. Health, Fitness, and Age Requirements

  • Gorilla Trekking Minimum Age: 15 years and above.
  • Participants must be physically fit and in good health. Gorilla trekking involves walking on steep, muddy, and sometimes slippery trails.
  • Clients with pre-existing medical conditions must disclose them at the time of booking. We reserve the right to refuse participation if we believe it may endanger the client or the gorillas.
  • A valid Yellow Fever vaccination certificate is mandatory for entry into Uganda.

6. Gorilla Trekking Rules and Safety

  • A minimum distance of 7 meters (21 feet) must be maintained from the gorillas at all times.
  • Anyone showing signs of illness (cold, flu, cough, diarrhea, or any contagious disease) will not be permitted to track gorillas, for the protection of these endangered animals.
  • Clients must strictly follow all instructions given by park rangers and guides.
  • Flash photography, loud noise, eating, smoking, or any behavior that may disturb the gorillas is strictly prohibited.
  • While the success rate for gorilla sightings is very high, sightings are not guaranteed. No refunds will be issued if the gorillas are not located.

7. Changes to the Itinerary

Nature Safaris Africa reserves the right to make minor adjustments to the itinerary due to weather conditions, road accessibility, park regulations, or any unforeseen circumstances. In such cases, we will strive to offer suitable alternatives.

8. Liability

  • Nature Safaris Africa acts only as an agent for various independent service providers (lodges, transport companies, and Uganda Wildlife Authority).
  • We shall not be held responsible for any loss, injury, damage, delay, or inconvenience caused by third parties or due to force majeure events (including but not limited to natural disasters, political unrest, war, strikes, or pandemics).
  • All clients participate in safari activities at their own risk.

9. Travel Insurance

Comprehensive travel insurance is mandatory for all participants. The policy must cover:

  • Trip cancellation and interruption
  • Medical expenses and emergency evacuation
  • Repatriation
  • Adventure activities including gorilla trekking

Proof of insurance may be requested before the safari begins.

10. Complaints

Any complaints should be reported immediately to your driver-guide or our office so that we can attempt to resolve them during the tour. Written complaints must be submitted to us within 14 days after the completion of the safari.

11. Governing Law

These Terms and Conditions are governed by the laws of the Republic of Uganda. Any disputes arising shall be subject to the exclusive jurisdiction of the courts in Kampala, Uganda.
